Keep your family on the same page.

A booking number in one text, an address in another, and nobody certain which update is current. A shared record can make the next conversation easier.

Give the right people access to the same record.

Start with a small, useful record.

Add the person’s name or nickname, their booking or register number, and the facility you have confirmed. Leave uncertain details blank. Keep the facility’s phone number next to its name so another family member can follow up without searching again.

Separate the address from the task.

A visiting entrance and a mailing address can be different. Label each address by its purpose. In your notes, record the date you checked it and the source you used. If the person transfers, review both addresses before someone travels or sends mail.

Make each next step specific.

Write ‘Call the facility to confirm visitor approval’ rather than ‘Handle visits.’ Agree who will do it and put that name in the task. Mark the step complete after it is done; keep any confirmation or follow-up detail in the notes.

Choose who needs to see or edit.

If you keep the record in a shared document or notes app, share it only with the people who need it. Viewing access suits a relative who needs the latest details; editing access lets them help maintain the record. Review access when circumstances change, and remove invitations you no longer need.

Refresh before you act.

A saved family note is not a live custody record. Confirm the current facility and its requirements before travel, a deposit or a mailing. Open or refresh the shared record to see the latest saved update.
